Paon Automation Ltd. ("Paon", "we", "us") is a data controller registered in Kenya. This Privacy Policy explains what personal data we collect through this website (paon.co.ke), how we use it, and your rights under the Kenya Data Protection Act 2019.
1. Data We Collect
Consultation Form
When you submit the consultation request form we collect: your name, SACCO name, member count range, phone number (optional), and email address. This data is used solely to respond to your enquiry and, if you proceed, to manage our relationship with you.
Scheduling (Cal.com)
Our consultation page embeds a Cal.com scheduling widget. If you book a meeting through this widget, Cal.com collects your name, email, and any notes you provide. Cal.com's own privacy policy governs that data. We receive a copy of the booking details to manage the appointment.
Analytics (Cloudflare Web Analytics)
We use Cloudflare Web Analytics to understand how visitors use this site. Cloudflare Web Analytics does not use cookies and does not track you across sites. It collects anonymised, aggregated metrics only (page views, referrers, browser/device type). No personal data is stored.
Server Logs
Our hosting infrastructure (Cloudflare Workers) may log standard HTTP request data including IP addresses. These logs are retained for up to 30 days for security and operational purposes and are not used for profiling.
2. Legal Basis for Processing
Under the Data Protection Act 2019, we process your personal data on the following bases:
- Performance of a contract — when you request a consultation and we take steps to respond to that request.
- Legitimate interests — for security monitoring and operational analytics, balanced against your rights.
- Consent — where indicated at the point of collection (e.g. if we introduce an email newsletter in future).
3. How We Use Your Data
We use the data collected to:
- Respond to consultation requests and schedule meetings.
- Understand how the website is being used so we can improve it.
- Protect against misuse and ensure operational security.
We do not sell your personal data. We do not use it for automated profiling or targeted advertising.
4. Data Sharing
We share data only with the following third parties, and only to the extent necessary:
- Postmark (Wildbit LLC) — transactional email delivery for form submission notifications. Data processed in the US under standard contractual clauses.
- Cal.com — scheduling. Data processed subject to Cal.com's privacy policy.
- Cloudflare, Inc. — hosting and anonymised analytics.
We do not transfer personal data to any other third parties without your explicit consent.
5. Retention
Consultation enquiry data is retained for up to 24 months from the date of submission, or for as long as an active client relationship exists, whichever is longer. You may request earlier deletion at any time.
6. Your Rights
Under the Kenya Data Protection Act 2019 you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate data.
- Erasure — request deletion of your personal data.
- Object — object to processing based on legitimate interests.
- Portability — receive your data in a structured, machine-readable format.

7. Cookies
This website does not use tracking or advertising cookies. No cookie consent banner is displayed because none is required. If you book a meeting through Cal.com, that embedded widget may set session cookies governed by Cal.com's policy.
8. Security
All data in transit is encrypted via TLS. Consultation form submissions are sent over HTTPS and delivered via Postmark's encrypted API. We do not store payment data of any kind on this website.
9. Changes to This Policy
We may update this policy from time to time. The "Last updated" date at the top will reflect any changes. Material changes will be communicated to active clients directly.
